How to Manage Splits in The Record?

    Overview

    The Record tracks who owns what on a track, through a structured splits process. You can define composition and sound recording splits, invite the people involved to confirm their share, and see exactly where an agreement stands at any time. Splits live at the track level, so each track in your project can have its own agreement.

    Important note

    Only File Owners can create, edit, or send split proposals. Collaborators who are added to a split can only view.

    Step-by-Step Guide

    1. Open the Splits tab for a track in one of two ways:

      • Click the more actions (...) menu on the file and select The Record.
      • Click the metadata icon directly on the file row, then go to the Splits tab.
    2. Choose the sheet you want to work on: Composition or Sound Recording. A track can have one, both, or neither.

    3. Add each contributor to the sheet, along with:

      • Their split percentage
      • Their name
      • Their role
      • Their email
    4. Make sure percentages across the sheet add up to 100%. You won’t be able to send a proposal until they do.

    5. When you’re ready, click Send proposal. Each named party gets a notification showing their stake, the full allocation, and who else is on the sheet.

    6. As each party accepts, their confirmation is recorded with a timestamp against the exact allocation they agreed to.

    7. Once everyone has accepted, the split moves to Verified, and a snapshot of that agreement is stored.

    To edit a Verified split

    1. Open the Splits tab and click Edit splits.
    2. Make your changes. Saving creates a new version of the split, which starts as Unverified. Your previous Verified version is kept in the split’s version history.
    3. Before saving, the Send split proposal to collaborators checkbox is ticked by default. Leave it ticked to notify affected parties right away, or untick it to save your changes without sending a proposal yet.
    Important note

    If you only changed existing percentages, only the parties whose share changed need to re-verify. If you added a new contributor, that person and anyone whose share changed will need to re-verify.

    Important note

    If you save without sending a proposal, a reminder banner (“Some collaborators have not accepted their splits”) stays on the Splits tab with a Send proposal button until you send one.

    To export a record of agreement

    1. From the Splits tab, click Export.
    2. A PDF is generated from the track’s full split history, including current splits, ratification details, and prior versions.
    3. You can export at any time, even if the split isn’t fully Verified yet. The export will clearly mark it as partially verified if some parties haven’t confirmed.

    Frequently Asked Questions (FAQs)

    Will collaborators be notified if I edit an already-Verified split?

    Yes. If you save changes and send a proposal, affected parties get a notification showing who updated the split and what changed, for example, “John Doe updated your shares: Composition: 15%.” They can click through from the notification to review and accept.

    What’s the fastest way to get to a track’s splits?

    If you’re already looking at the file row, click the metadata icon on that row to open The Record, then go to the Splits tab. If you’re working from the more actions menu for another reason, Manage Splits is right there too. Both take you to the same place.

    What’s the difference between Verified and Unverified?

    Unverified means the split exists, but not everyone named on it has accepted the current allocation yet. This is the default state for a new split, and also the state a split moves to whenever it’s edited. Verified means every named party has accepted, and a snapshot of that exact agreement is saved.

    Can I cancel a proposal I’ve sent?

    Yes. As the Owner, you can cancel a pending proposal and revise it. There’s no automatic expiry; proposals stay open until you cancel them or everyone accepts.

    Who can see a split?

    Anyone named on the split automatically gets view access to the project. Editors on the project can see all splits too, but can’t edit them. Only Owners and Admins can make changes.

    Can someone outside BeatStars be added to a split?

    Yes. You can invite someone who doesn’t have a BeatStars account, but they’ll need to sign in or create one before they can accept the proposal.

    Can I set splits at the project level instead of per track?

    No, splits are managed at the track level only. If your project has multiple tracks with different contributors, each track keeps its own split sheet.

    What happens to splits on a loose file that isn’t in a project yet?

    You’ll see a Splits tab, but you’ll be prompted to move the file into a project first before you can set up a split, since splits and collaboration are project-scoped.

    Does exporting a record of agreement finalise anything?

    No. Exporting is just a snapshot of the current state; it doesn’t change anything or require any action from named parties. You can export as many times as you like as the record grows.

    Is the exported record of agreement legally binding?

    No. It’s not a binding legal document on its own; it’s a snapshot of the ledger, built to be usable as supporting evidence of ownership and agreement history if you need to show it to a lawyer, distributor, or publisher. It doesn’t guarantee admissibility in any specific legal process.
