Overview
Projects are built for collaboration. You can invite producers, artists, engineers, managers, and anyone else you work with into a project, assigning each person a role that controls what they can do. This article covers how to invite collaborators, assign and change roles, and manage access over time.
Step-by-Step Guide
To add a collaborator, start typing a username or email address in the search field at the top of the Invite tab, then select the person you want to add. You can add several people at once, and each one appears as a chip you can remove.
Important noteDuplicate emails are not allowed. If you enter an email that has already been invited, you’ll see a message and the duplicate is ignored.
Choose a role from the dropdown beside the email field. This role applies to everyone in this batch of invites; you can change any individual’s role afterwards from the People with access list.
- Admin: can invite other collaborators, manage roles, and edit all project content.
- Editor: can upload, download, edit, or delete their own files (cannot edit or delete files they did not upload).
- Viewer: can listen to and preview files only. You can optionally enable comments, downloads, and versions for viewers.
(Optional) Add an Invitation note of up to 240 characters, to tell your collaborators what you are sharing and what you need from them.
Click Send. Each invitee receives an email with an Accept Invite button, and is prompted to log in or sign up for a BeatStars account to open the project.
Important noteEmail invites expire after 30 days if they are not accepted. You’ll be notified when each invite is accepted.
If you set Access to Anyone with the link, choose the access level that link gives:
- Viewer access: listen and preview only. This is the default.
- Editor access: upload, edit, and delete their own files.
Important noteAdmin access is not available for link-based sharing. Anyone using the link gets Viewer or Editor access only.
If you switch Access from Anyone with the link back to Invited people only, the existing link stops working immediately. Anyone still holding it will no longer be able to use it to get in.
To change a collaborator’s role after they have accepted, find their name in the People with access list, click their current role, and select a new one from the dropdown.
To remove a collaborator, click Revoke Access next to their name. They lose access to the project immediately.
Important noteWhen you remove a collaborator, any files they uploaded remain in the project, and storage attribution for those files transfers to the project owner. See BeatStars Projects Storage FAQs for more details.
